What is a restaurant management system and what should it include

  • Cash register

Many restaurants run on a collection of tools that do not talk to each other: a notebook or an app for reservations, a POS to take payments, paper tickets for the kitchen and a spreadsheet to crunch numbers at the end of the month. It works, but every jump from one tool to another is a chance for something to get lost.

A restaurant management system brings all of that into one place. The reservation, the table, the order, the payment and the guest profile are the same information, seen from wherever it is needed.

What problems it solves

  • Duplicate information. When the reservation lives in one place and the bill in another, someone has to copy data by hand. With a single system, it is written once.
  • Lack of visibility. The host does not know which tables are about to free up, the kitchen does not know how many reservations are coming and management does not know what happened until the next day.
  • Register mistakes. Without a clear register shift, balancing the drawer at the end of the night turns into a treasure hunt.
  • Guesswork. Without reliable data it is hard to know which dish earns its margin, which shift needs more staff or how many no-shows you have.

What it should include

Not every restaurant needs the same thing, but a good system should cover these areas.

Reservations and availability

A daily book, shifts and exceptions for holidays or closures, and your own online booking page that guests can use from your website, your Instagram or your Google Business profile. Availability should be calculated automatically from your opening hours and how long each seating lasts. We go into detail in online reservations for restaurants.

Floor map

The dining room laid out by area, with every table and its live status: free, occupied or waiting to be cleared. That is what lets you seat a walk-in in seconds and know how long until the next table frees up.

Orders and kitchen

The server takes the order on a device and the kitchen receives it on a screen, numbered and with allergy notes. Each dish moves through its stages and the floor knows when to pick it up. No more unreadable tickets. More in digital kitchen tickets and kitchen displays.

Register

Register shifts with a starting float, payments split across several methods, discounts, cash movements and a closing count that compares what was expected with what was counted. See how to close out the register step by step.

Guests and loyalty

A profile for every guest with allergies, preferences, visits and no-shows. If it also includes a points program, you can reward regulars without keeping track by hand. Here is how in restaurant loyalty programs.

Automatic notifications

Confirmations, reminders and changes sent automatically by email or WhatsApp, plus alerts for the team when an order comes in or a dish is ready.

Reports

Occupancy, sales, no-shows, kitchen times, menu performance. Data you already generate every day that should be one click away, without building spreadsheets. Menu engineering is a good example.

How to choose the right one

Before deciding, ask yourself these questions:

  1. Do I need special hardware? Systems that run in the browser let you use the devices you already have.
  2. How does it charge? Some platforms charge a fee for every reservation or every guest. With high volume, that can cost more than the subscription. Look for clear pricing with no surprises, and run the numbers before deciding.
  3. Is there a minimum term? Being able to cancel whenever you want is a good sign the company trusts its product.
  4. Will they help me get started? Onboarding and migrating your current data should come with support.
  5. Does everyone see only what they need? Role-based permissions prevent mistakes and make training much faster.
  6. Who owns the data? Your guests are yours. Make sure you can export them whenever you want.

In short

A restaurant management system is not just a reservation book: it is how your whole team works from the same information, in real time. Less paper, fewer mistakes and more time to look after every table.

Bookeando brings reservations, floor, orders, kitchen, register, guests and reports into a single panel, with no fees per reservation. You can see the plans and pricing or request a demo with your own restaurant.
