Online reservations for restaurants: how to take bookings from Google, Instagram and your website

More and more diners choose a restaurant from their phone: they search on Google, look at photos on Instagram and want to book right there, without calling. If your restaurant is closed at that moment or your team is in the middle of service, that booking is lost or goes to the competition.

Online reservations solve that problem: your restaurant takes bookings around the clock, without anyone having to answer the phone. In this guide we explain what you need and how to get started.

Why your restaurant needs online reservations

  • Bookings at any hour. Many people decide where to eat at night or on the weekend, exactly when you are closed or busy serving.
  • Fewer calls during service. Every call during service is someone on your team who stops looking after a table.
  • Fewer mistakes. Guests type in their own details, choose a day and time based on your real availability and get a confirmation. No misspelled names or mixed-up times.
  • Guest data. Every online booking creates or updates the guest's profile, with their phone, email and visit history.

What a good booking page needs

Not all booking pages are the same. Before choosing one, check that it covers these points.

Real availability, calculated automatically

The page should only offer times when you can actually seat people. To do that it has to know your shifts, how long each seating lasts and the buffer you leave between tables, plus your holidays and closures.

Choice of area

Many guests have preferences: terrace, dining room, bar. Letting them choose the area while the system assigns the right table avoids arguments at the door and gives you flexibility to rearrange the room.

Instant confirmation

The guest should immediately get a booking code with the date, time, party size and address. Even better if it arrives on WhatsApp. We cover this in detail in WhatsApp for restaurants.

Your conditions, accepted at booking time

Cancellation policy, grace period, whether large groups need to leave a card. All of it should be visible and accepted when booking, so nobody is surprised later.

Built for phones

Most bookings are made on a phone. The page has to load fast, look good on small screens and ask only for the essential details.

Once you have your booking page, the next step is to put it where your guests already look for you.

  1. Your Google Business profile. It is probably where the most people find your restaurant. You can add a booking link to your profile so it appears next to your opening hours and reviews.
  2. Instagram. Put the link in your bio and use the profile action button. Whenever you post a new dish or event, remind people they can book from there.
  3. Your website. A visible "Book" button at the top of every page. If your website does not have one, you are losing bookings.
  4. WhatsApp and social media. Share the link when someone asks about availability. It is faster for you and for the guest.

Common mistakes when going online

  • Opening the whole room to bookings. Leave room for walk-ins, especially if you get a lot of foot traffic.
  • Not updating holidays. A confirmed booking for a day you are closed is a guaranteed bad experience.
  • Forgetting reminders. Online bookings are convenient, but they are also easier to forget. A reminder with a confirm button is the best way to reduce no-shows.
  • Paying a fee for every booking. Some platforms charge for every guest who books through them. Do the math before choosing: we explain it in per-cover fees or a flat fee.

Connecting bookings with the rest of the restaurant

Taking bookings is only the beginning. Ideally, each booking appears directly on the floor map, the team sees who is arriving and when, and the bill for that table is linked to the guest's profile. That way, next time they come back, you know what they like and whether they have any allergies.

That is what a restaurant management system does: reservations, floor, kitchen, register and guests in one place.
